We are looking for a highly organized and proactive Office Manager to join our team in Madison, New Jersey. As part of a dynamic environment within the architecture industry, this role offers the opportunity to oversee daily office operations, coordinate events, and support various departments. Job Responsibility:
Welcome and assist vendors, clients, and visitors, ensuring they are guided appropriately within the office
Manage incoming and outgoing mail, including reducing junk mail and coordinating timely deliveries
Oversee scheduling and preparation of conference rooms, ensuring readiness between meetings
Maintain office supply inventory, placing orders and distributing across multiple locations as needed
Support end-of-day office maintenance and closing procedures
Coordinate staff meetings, lunch-and-learn sessions, and seasonal company events
Assist HR with onboarding processes, office orientations, and employee milestone announcements
Provide administrative support to the Finance team, including filing, invoice processing, and report generation
Execute ad hoc errands, internal correspondence, and other administrative tasks as requested
Monitor and update employee attendance boards and other office tracking systems
Requirements:
Strong written and verbal communication skills to collaborate effectively across departments
Demonstrated ability to learn new systems and improve processes for greater efficiency
Excellent organizational skills with a keen eye for detail
Ability to manage multiple priorities, meet deadlines, and solve problems effectively
Proficient in Microsoft Office Suite, including Office 365, Word, and Teams
Resourceful mindset with the ability to maintain accurate records and files
High school diploma required
a college degree is a plus
Minimum of 2 years of administrative experience preferred
