As the face of Shea, you’re responsible for setting the tone and creating that first touchpoint, greeting our clients, guests, partners, and vendors as they arrive at the premier design firm in Minneapolis. Our office is your domain; you take pride in ensuring it runs smoothly and creates a pleasant work experience for all who pass through. You work with the entire firm: performing various administrative tasks, managing multiple calendars, and partnering with leadership to enhance efficiency and effectiveness throughout the organization. Job Responsibility:
Manage document signing and electronic filing of documents
Calendar coordination, schedule meetings and appointments
Maintain company databases, licensures, and associated reporting
Manage contracts, agreements, and scheduling of vendors, services providers, catering, and product representatives
Assist in the onboarding process for new hires
Partner with HR to update and maintain office policies, procedures and provide support in the recruitment process
Assist Marketing, Accounting, Executives, Designers, and Architects in whatever may be needed (typing, filing, correspondence, travel arrangements, reporting, meeting set up etc.)
Oversee, maintain, and trouble shoot conference room equipment and technology
Greet and provide general support to Clients, visitors, vendors, and staff
Handle incoming/outgoing mail and packages, and multi-line phone
General office housekeeping, monitor and replenish office supplies and equipment, maintain office condition, and arrange necessary repairs
Support project and marketing teams throughout the project closeout phase
Participate in the planning and execution of monthly, quarterly and annual company events
Requirements:
Associate’s Degree and additional qualification as an administrative assistant
Minimum 3 years’ experience in related positions
Proficiency with Office software and administrative programs
Ability to work in the office during business hours, 5 days per week
