Job Description:

We are seeking a highly organized and proactive Office Manager to oversee daily administrative operations for our clients, a fast-paced construction company. This role ensures smooth office workflow, supports project teams, and handles a wide range of tasks from accounting support to vendor coordination. The Office Manager is a critical member of the team, helping to keep projects running efficiently and the office operating at a high level.

Job Responsibility:

  • Manage day-to-day office operations, including filing, scheduling, communications, and administrative systems
  • Serve as the first point of contact for internal staff, clients, vendors, and subcontractors
  • Oversee office supplies, equipment, and maintenance needs
  • Maintain project files, contracts, insurance certificates, and construction documents
  • Assist project managers with tracking permits, submittals, and compliance documentation
  • Coordinate onboarding and records management for new employees, subcontractors, and vendors
  • Organize internal meetings, safety training, and assist with HR-related functions when needed
  • Ensure the office remains compliant with health, safety, and employment standards

Requirements:

  • 3+ years of office management or senior administrative experience
  • construction or trades industry experience is strongly preferred
  • Strong understanding of construction processes, terminology, and documentation is a plus
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook)
  • experience with construction software (e.g., Procore, QuickBooks, Buildertrend, or Sage) is highly desirable
  • Excellent communication, organization, and multitasking skills
  • Ability to work independently and take initiative in a fast-paced environment
  • Attention to detail and a strong sense of accountability

Nice to have:

  • Strong understanding of construction processes, terminology, and documentation
