We are looking for an experienced and detail-oriented Office Manager to oversee the day-to-day operations of a busy office in Altadena, California. This Contract to permanent position involves managing office facilities, coordinating company events, and ensuring smooth administrative operations. The ideal candidate will bring strong organizational skills, financial expertise, and the ability to multitask effectively in a dynamic environment.
Job Responsibility:
Supervise office facilities, ensuring maintenance, repairs, and services are conducted efficiently
Coordinate with external service providers, including IT support, cleaning services, pest control, and security systems
Purchase and manage office equipment and supplies, maintaining inventory and addressing purchasing needs
Organize and execute company events such as holiday parties, picnics, safety meetings, and employee celebrations
Source vendors, reserve venues, and oversee installation of office decorations for special occasions
Process incoming and outgoing mail while ensuring visitors are welcomed and directed appropriately
Provide administrative support to staff, including scheduling and document management
Monitor office budgets, manage accounts receivable, and ensure billing processes are accurate
Oversee compliance with office safety standards and training requirements
Maintain effective communication with employees and vendors to address operational needs
Requirements:
A minimum of 4 years of experience in office management or accounts receivable
Extensive knowledge of accounting procedures and billing processes
Proven ability to manage facilities and coordinate with service providers
Experience in purchasing and maintaining office equipment and supplies
Demonstrated success in planning and executing company events and safety meetings
Strong organizational skills and ability to multitask in a fast-paced environment
Excellent communication and problem-solving abilities
Proficiency in accounting software and Microsoft Office Suite
