Job Responsibility:

  • Oversee day-to-day office operations and being the 'go to' person for all operations and facilities matters
  • Build strong relationships with internal colleagues and external customer and suppliers to align with business goals
  • Maintain and update office policies and procedures, ensuring alignment with health and safety, data protection, and company standards
  • Manage office budgets, supplies and inventory
  • Liaise with building management company and external contractors to ensure facilities standards are maintained
  • Lead and project manage office moves and refurbishments, ensuring minimal disruption to operations
  • Coordinate meetings, events, and travel arrangements
  • Support finance team with invoice processing, including receiving, verifying, coding, and submitting invoices for approval and payment tracking
  • Assist with budget management and expense tracking
  • Provide administrative assistance to relevant stakeholders
  • Greet and assist visitors professionally and ensure a welcoming environment

Requirements:

  • Proven experience as an Office Manager or similar role
  • Excellent organisational and multitasking skills
  • Strong communication and interpersonal abilities
  • Proficiency in office software especially the MS Office suite. Experience of using finance software such as Xero would be advantageous
  • Experience of setting up AV equipment and basic IT troubleshooting would be helpful
  • A proactive attitude and a knack for problem-solving
  • A genuine passion for fostering a positive workplace culture
