We are looking for a detail-oriented and proactive Office Manager to join our team in Torrance, California. In this long-term contract role, you will play a key part in ensuring smooth day-to-day operations of the office while providing exceptional support to guests and internal staff. Job Responsibility:
Welcome visitors with a courteous approach, verify their credentials, and assist with the check-in process while ensuring their comfort
Manage and coordinate the guest calendar to keep track of scheduled arrivals and prepare for meetings and visits
Collaborate closely with executive assistants and other team members to optimize office workflows and maintain efficient operations
Display flexibility in adapting to changing priorities and adjusting start times as needed to meet business requirements
Monitor and maintain office supplies, placing orders as necessary to ensure availability
Handle accounts payable processes and maintain accurate records of financial transactions
Perform receptionist duties, such as answering calls, directing inquiries, and maintaining an organized and attentive front desk presence
Take initiative to identify areas for improvement and implement solutions to enhance office efficiency
Communicate effectively with a broad range of individuals, including high-profile stakeholders, ensuring clarity and a high level of service in all interactions
Requirements:
Proven experience in administrative office management or a similar role
Strong ability to manage and order office supplies, ensuring availability and organization
Familiarity with accounts payable processes and maintaining financial records
Excellent interpersonal skills, with the ability to warmly greet and assist visitors
Demonstrated flexibility and adaptability in a dynamic work environment
Proactive problem-solving skills and the ability to anticipate needs
