We are looking for a detail-oriented and organized Office Manager to join our team in Coffeen, Illinois. This Contract to permanent opportunity plays a pivotal role in supporting plant operations by managing administrative tasks, customer service, and human resources functions. The ideal candidate will bring professionalism, efficiency, and strong communication skills to ensure smooth office operations.
Job Responsibility:
Serve as the first point of contact by performing receptionist duties, including greeting visitors, managing contractor log-ins, and ensuring safety training is completed
Oversee customer and community relations to promote positive interactions and maintain high standards of service
Administer human resources policies, including maintaining confidential personnel records, managing onboarding processes, and tracking employee vacation schedules
Ensure the office is well-stocked by purchasing supplies, obtaining vendor quotes, and maintaining inventory levels
Process and submit invoices for payment after obtaining local management approvals
Provide administrative support by creating presentations, drafting correspondence, and managing outgoing/incoming mail
Schedule truck and railcar logistics for loading and releasing, ensuring timely and accurate operations
Assist with maintaining compliance records and documentation required for audits and training
Collaborate with plant management and corporate accounting teams to support month-end activities and financial close processes
Take on additional duties as needed to support the overall success of the plant
Requirements:
High school diploma or equivalent required
an Associate’s or Bachelor’s degree is preferred
At least 2 years of experience in office or business management, preferably within an industrial or plant setting
Strong interpersonal skills with the ability to interact effectively with employees, contractors, vendors, and visitors
Excellent verbal and written communication abilities
High attention to detail and commitment to following corporate policies and procedures
Ability to handle confidential information with integrity and adhere to ethical standards regarding human resources activities
Proficiency in Microsoft Office Suite, including Outlook and Excel, as well as familiarity with NetSuite and other business software
Basic understanding of accounting principles is an advantage
