Join our client's team as an Office Manager. In this key role, you will oversee the day-to-day operations of our vibrant office, ensuring that everything runs smoothly while maintaining a high standard of service for our customers and insurance partners. Your leadership will be vital in supporting the office team and optimising performance across various tasks.
Job Responsibility:
Lead the office team and ensure tasks are completed efficiently
Monitor workloads and performance to keep everything on track
Conduct monthly reviews and oversee training plans for new team members
Identify training needs and enhance training materials
Provide desk support during busy periods
Prepare and submit the Weekly Monday Report to management
Provide performance figures to the team weekly
Monitor and report on team KPIs
Produce monthly reports on hire car usage and insurance claims data
Maintain team statistics via Asana
Ensure effective management of the insurance team's scheduled work
Conduct monthly audits to maintain high standards
Authorise and log staff overtime and holidays while ensuring team cover
Assist with scheduling, including Saturday and Christmas rotas
Handle and resolve customer complaints, ensuring they are logged appropriately
Liaise with technicians and managers to address operational issues
Manage Trustpilot reviews, including handling feedback
Keep the office organised, including reception areas and meeting rooms
Manage hire car diary bookings and courier shipments (FedEx)
Maintain the internal phone directory and order office supplies
Liaise with cleaning staff to ensure a pleasant office environment
Requirements:
Previous experience supervising or managing a team is desirable
Strong organisational and multitasking skills
Proficient in Microsoft Excel and general computer systems
Excellent communication and problem-solving abilities
