We are seeking a proactive and highly organized Office Manager to play a key role in ensuring the smooth operation of our company’s daily activities. This role is perfect for someone who embodies a can-do spirit, enthusiasm, and a genuine passion for creating a positive and engaging workplace environment. Office Manager will manage office logistics, build and maintain strong relationships with suppliers, and take the lead in organizing both corporate and social internal events. This person will also collaborate with our group partners, handling travel arrangements and supporting HR initiatives to enhance employee engagement and satisfaction. While the primary focus is on company-wide operations, occasional support to the CEO may be required for specific tasks to ensure seamless executive operations.
Job Responsibility:
Manage internal and external communications, including emails, phone calls, and postal services, ensuring a professional, timely, and efficient flow of information
Act as a reliable point of contact for general office inquiries and correspondence
Ensure the office is well-organized, functional, and fully operational at all times
Manage office supplies, equipment, and facilities-related needs, anticipating requirements and resolving issues proactively
Coordinate with building management and service providers when necessary
Serve as the primary point of contact for office-related suppliers and vendors
Manage supplier relationships, place orders, monitor service quality, and ensure timely delivery of goods and services
Support contract negotiations and renewals when required, ensuring cost-efficiency and service alignment
Provide general administrative support to ensure the smooth day-to-day operation of the office
Support teams across the company with administrative tasks as needed, contributing to overall operational efficiency
Plan, organize, and execute internal corporate events such as Town Halls, company meetings, and internal presentations
Manage end-to-end event logistics, including venues, catering, agendas, materials, and internal communications
Partner closely with the HR Manager to organize team-building activities, monthly meet-ups, employee celebrations, and social events
Contribute to initiatives that strengthen company culture, collaboration, and employee engagement
Proactively propose and implement new ideas for events, initiatives, and engagement activities
Bring creativity, energy, and enthusiasm to ensure events are engaging, memorable, and well-received by employees
Coordinate and manage business travel arrangements, including flights, accommodation, and ground transportation
Ensure smooth, cost-effective, and well-organized travel experiences for employees and leadership
Coordinate travel and visit logistics with group partners
Work closely with personal assistants and administrative teams supporting group CEOs and senior leadership
Ensure a professional and welcoming experience for visitors
Organize accommodation, transportation, and on-site logistics during visits
Requirements:
Previous experience as an Office Manager, Administrative Coordinator/Assistant, or in a similar role
Proven experience in office operations, supplier coordination, event organization, and travel logistics
Strong communication skills in both Romanian and English
Organizational Excellence: Ability to manage multiple priorities with strong attention to detail
Event Management: Hands-on experience planning and delivering corporate and social events
Proactive Mindset: Self-starter who takes ownership and actively contributes ideas
Communication Skills: Clear, professional, and approachable verbal and written communication * Advanced English
Tech Proficiency: Comfortable using MS Office and office management tools
