Job Responsibility:

  • Be the welcoming face of the office, looking after reception, visitors and day‑to‑day queries
  • Make sure the office looks and feels great: meeting rooms, common areas and kitchen spaces are tidy, stocked and ready to use
  • Coordinate suppliers and building services to solve small maintenance or cleaning issues and keep standards high
  • Support internal events and wellbeing initiatives (afterworks, team gatherings, seasonal celebrations), including logistics, set‑up and follow‑up
  • Help organise travel for employees and senior leaders, and assist with basic office logistics between Barcelona and other TheFork offices
  • Support employee onboarding and offboarding from an office perspective (welcome packs, access, tours, returns of equipment, etc.)
  • Take care of light administrative tasks such as tracking simple budgets or orders, keeping contact lists and records up to date, and contributing to sustainability and office‑occupancy initiatives

Requirements:

  • 1–2 years of experience in office management, reception, hospitality or a similar administrative role
  • Friendly, enthusiastic and people‑oriented, with a strong eye for detail and a passion for creating a great office atmosphere
  • Strong multitasking skills: you stay calm under pressure and can juggle several requests and priorities at the same time
  • Hands‑on and proactive, with a “see it, do it” attitude and initiative to solve day‑to‑day issues
  • Very organised and structured, with good coordination and follow‑up skills
  • Comfortable communicating with colleagues at all levels, as well as external suppliers and building staff
  • Able to work both independently and as part of a team, knowing when to ask for help or escalate
  • Fluent in Spanish and English (spoken and written)

  • Flexible and adaptable: comfortable with changing timetables and priorities in a dynamic environment
