We are looking for an organized and detail-oriented Office Manager Assistant to oversee and coordinate front office operations in Indianapolis, Indiana. This Contract-to-Permanent position requires an individual with strong administrative, accounting, and payroll skills to ensure smooth office functionality and compliance.
Job Responsibility:
Collaborate with the Office Manager to manage and streamline front office operations effectively
Maintain and track office supplies inventory to ensure availability and efficiency
Handle payroll management and ensure compliance with relevant payroll tax regulations
Utilize accounting and payroll software to perform financial tasks accurately
Manage accounts payable and accounts receivable processes to ensure timely transactions
Coordinate administrative activities, including business writing and detail-oriented presentations
Oversee office communication systems, responding to inbound calls and inquiries promptly
Support marketing initiatives and assist in promoting business activities
Ensure compliance with labor union requirements and construction management standards
Develop and implement organizational strategies to enhance office productivity
Requirements:
Proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, and Outlook
Strong knowledge of accounting and payroll systems, such as ADP and Concur
Familiarity with CRM tools and specialized software like Dentrix Dental Software
Experience in construction management and general contracting
Understanding of labor union regulations and compliance requirements
Ability to manage accounts payable and accounts receivable processes effectively
Excellent communication skills, both written and verbal, with a focus on professionalism
Proven organizational and time management skills to handle multiple tasks efficiently
