We are looking for an experienced Administrative Assistant to join our Health Services group in Watertown, Massachusetts. In this contract position, you will play a vital role in overseeing administrative operations, ensuring smooth scheduling, and delivering excellent support to both staff and patients. This role requires strong organizational skills and familiarity with medical office procedures.
Job Responsibility:
Oversee daily administrative operations within the clinic to ensure efficiency and accuracy
Manage patient scheduling and appointments using electronic medical records (EMR) systems
Coordinate calendars for clinicians and staff to optimize workflow
Answer inbound calls professionally, addressing patient inquiries and concerns
Maintain patient records and ensure compliance with privacy and confidentiality standards
Provide exceptional customer service to patients and visitors, creating a welcoming environment
Support clinic staff with administrative tasks, including documentation and correspondence
Ensure adherence to clinic policies and procedures in all administrative processes
Collaborate with medical professionals to address scheduling and operational needs
Monitor and order office supplies to maintain necessary inventory levels
Requirements:
A minimum of 3 years of experience in a medical administrative role or similar position
Proficiency in using electronic medical records (EMR) systems for scheduling and documentation
Strong understanding of basic medical terminology
Demonstrated ability to manage calendars and coordinate schedules effectively
Excellent customer service skills, with the ability to communicate professionally and empathetically
Experience handling inbound calls and resolving patient concerns
Strong organizational skills and attention to detail
Ability to work independently and collaboratively in a fast-paced environment
