Job Description

We are looking for an Office & Facilities Assistant to support daily workplace operations for a Contract position based in New Brighton, Minnesota. This role helps maintain an organized, functional environment by coordinating facility activities, supporting meeting spaces, and assisting with maintenance-related processes. The ideal candidate brings at least 2 years of relevant experience and is comfortable working with computerized systems that track service needs, room readiness, and timekeeping.

Job Responsibility

  • Coordinate day-to-day facility support tasks to help keep the site clean, organized, and operating efficiently
  • Monitor conference room readiness by arranging spaces, checking supplies, and addressing setup needs for meetings and events
  • Use a computerized maintenance management system to log requests, track work progress, and help ensure timely resolution of facility issues
  • Assist with scheduling and follow-up for maintenance activities, vendor visits, and general building support services
  • Maintain accurate facility records and support administrative tasks related to work orders, room usage, and operational updates
  • Partner with internal teams to respond to workplace concerns and help deliver consistent on-site support
  • Support timekeeping-related administrative activities using Kronos, ensuring information is entered and maintained accurately when required.

Requirements

  • At least 2 years of experience in facilities support, workplace coordination, or a similar function
  • Hands-on experience working with CMMS platforms or other computerized maintenance management tools
  • Familiarity with coordinating conference rooms and supporting meeting space logistics
  • Ability to manage multiple requests efficiently while maintaining strong attention to detail
  • Comfortable using administrative systems such as Kronos Timekeeping System or comparable software
  • Strong communication and coordination skills for working with employees, service providers, and internal stakeholders.
