This opportunity manages the office facilities day-to-day operations interacting closely with leadership !

Job Responsibility

  • Oversees all needs of the office Facility, and is the liaison between employees, executive leadership, building property management and external vendors
  • Ensures guests and employees a seamless experience and within day-to-day office operations
  • Routes incoming calls to the appropriate parties
  • Distributes mail and coordinates packages
  • Acts as the main point of contact and go-to for various questions and information
  • Prepares internal office communications such as notices, events and on procedures
  • Creates and improves upon handbook of processes through instructional documents
  • Manages compliance on fire drills to evacuations and other scenarios
  • Issues entry badges and parking including replacements
  • Stocks and replenishes kitchen supplies, keeping orderly lay out of inventory
  • Schedules reminders to perform and complete various facility routine tasks
  • Tracks and updates various spreadsheets, check-lists priorities and special projects
  • Corresponds with vendors or building property management and coordinates repairs or maintenance
  • Communicates with external vendors for various services, purchases, or repairs
  • Maintains all updated office certificates and business licenses
  • Plans special internal and external company events and seasonal holiday or birthday celebrations
  • Directly reports to Human Resources and supports on special projects and initiatives

Requirements

  • 3-5 years of experience within Office Administration or managing an Office Facility
  • Collaboration with Building and Property Management
  • Successful with improving day-to-day office operations processes
  • Experience developing a handbook of office procedures
  • Proficiency with Microsoft Office suite
  • Bachelor's Degree in Business Administration or related

  • Onboards new part-time employees by guiding them through the process of completing the required forms and information to input into the HRIS and Time and Leave systems.
  • Responsible for part-time event staff payroll approval and accounting of hours charged to 100+ events per year. This is accomplished by daily monitoring of the University’s Time & Leave system to track various event hours and daily hours for Athletics Operations ensuring accuracy of electronic timecard punches and correct coding of hours.
  • Creates requested purchase order forms for the Athletic Operations unit ensuring accurate information, correct account coding and setting the document up for the correct electronic approval process.
  • Assists with the department’s key control management. Ensuring the Athletics Operations office is aware of employee start and end dates to make sure department keys are issued and returned in a timely manner.
  • Completes all other administrative duties as requested by Associate Athletic Director of Event Operations, Sr. Associate Athletic Director of Facilities and/or Director of Human Resources in order to meet the needs of the department.
