Job Description:

As an Office Experience Coordinator, you are passionate about creating welcoming, inspiring, and efficient workplace environments where people can do their best work. You bring a can-do attitude, exceptional organizational skills, and a keen eye for detail - ensuring the office runs smoothly and every day feels effortless for the team.

Job Responsibility:

  • Be the first point of contact for employees, visitors, and deliveries
  • Ensure meeting rooms, communal areas, and workspaces are tidy, stocked, and ready for use
  • Manage office supplies, stationery, refreshments, and snacks
  • Coordinate building access, contractors, cleaners, and maintenance issues
  • Support facilities management, including liaising with landlords, managing lease-related matters, and monitoring service charges
  • Handle light administrative duties, including post, invoices, and records
  • Assist with onboarding logistics for new starters (desk setup, welcome packs, office inductions)
  • Welcome guests and visitors, ensuring a seamless experience
  • Provide general office support for employees and respond to day-to-day queries
  • Support the impelentation of health and safety standards in the office
  • Act as a Fire Mashal, First Aider and Mental Health First Aider (certifications desirable but not cumpolsory – Valtech will support training where required)
  • Plan and organize office events, team gatherings, celebrations, and wellness initiatives
  • Collaborate with the Diversity & Inclusion team on company events and initiatives
  • Coordinate catering, meeting logistics, and social activities to foster a positive office culture

Requirements:

  • Excellent organisational and time management skills
  • Previous experience in office coordination, facilities management, or administration
  • Strong organizational and multitasking skills with attention to detail
  • Excellent communication and interpersonal abilities to engage with employees, clients, vendors, and visitors
  • Proficiency in Microsoft Office Suite (Teams, Word, Excel, Outlook, PowerPoint) and familiarity with office management systems
  • A proactive and problem-solving mindset with the ability to work independently and as part of a team
  • A positive, community-focused attitude with a passion for creating a great office experience

Nice to have:

Health & Safety, Fire Marshal, First Aid, and/or Mental Health First Aid certifications are desirable but not essential
