Job Description:

We are looking for a highly organized and proactive Office Coordinator to join our team. This role involves maintaining office operations, supporting the office manager, and delivering exceptional customer service to colleagues and clients. The ideal candidate will demonstrate strong communication skills and the ability to manage diverse tasks efficiently.

Job Responsibility:

  • Maintain a safe, clean, and efficient workplace daily
  • Respond to building-related requests and emergencies per service level agreements
  • Manage facilities-related contracts (e.g., janitorial, coffee services)
  • Follow SOPs for maintenance (routine, preventative, and reactive)
  • Attend weekly meetings with the office manager to review action items
  • Provide support to reception and client services, including breaks, catering, mail, and courier services
  • Manage office supply inventory and coordinate special orders
  • Set up and take down meeting rooms, including catering and event coordination
  • Ensure the client center is well-maintained and fully stocked
  • Lead onboarding for new colleagues, including office tours and workspace setup
  • Support office manager with facilities management across provincial offices
  • Coordinate with vendors for supplies, repairs, and furniture needs
  • Act as fire warden and occupational health and safety representative
  • Complete additional administrative tasks as needed

Requirements:

  • Previous experience in office coordination, administration, or a similar role
  • Strong communication and interpersonal skills
  • Proficiency in MS Office Suite (Word, Excel, Outlook)
  • Ability to manage multiple tasks efficiently
  • Experience with facilities management and vendor coordination is an asset
  • Flexible with office hours for event support
