We are seeking a highly organized and detail-oriented Office Coordinator to support daily operations within a property management environment. This role is essential to ensuring the office runs efficiently while providing administrative support to the property management team and delivering excellent service to homeowners, vendors, and staff.
Job Responsibility:
Oversee the daily opening, readiness, and general upkeep of the office to ensure a professional and efficient work environment
Provide administrative support to property management staff, including preparing documents, managing correspondence, and assisting with routine workflows
Receive, sort, and distribute incoming and outgoing mail, maintaining accurate tracking and records
Organize and maintain office files, records, and documentation to ensure accessibility and accuracy
Manage the distribution of keys to contractors, maintaining detailed logs to ensure accountability and security
Issue and track access fobs for new homeowners, ensuring all records are updated and accurate
Monitor office supply levels, place orders as needed, and maintain an organized inventory of essential materials
Assist with updates to community-facing website content and provide general front-office and back-office support as needed.
Requirements:
Previous experience in office administration, office coordination, or administrative support is required
Background in property management or community association management is strongly preferred
Strong interpersonal and customer service skills with the ability to communicate professionally with homeowners, vendors, and colleagues
Demonstrated ability to stay organized, manage competing tasks, and maintain attention to detail in a busy office environment
Proficiency with standard office systems, recordkeeping, and day-to-day administrative processes
Dependable, self-directed, and capable of handling responsibilities independently with a high level of professionalism
Familiarity with receptionist duties, office supply management, and general back-office support is preferred
