The role is reporting to Facility & Administration Manager coordinating all BU admin processes ensuring consistent approach to admin and facility management for all four countries in the same way.
Job Responsibility:
Contacting vendors for office supplies/equipment and outsourcing services and running negotiation with them
Coordination and responsibility for the administrative area
Monitoring admin budget within proposed guidelines
Implement administrative procedures and guidelines across BU based on brief from Facility & Administration Manager
Homedrink allowance and internal consumption procedure coordination and execution
Support other facilties in PL in coordination of BU topics
Contacting with contractors for projects where required, coordinating repairs
Follow up on services related to electric maintenance, mechanics, hydraulics, carpentry and masonry, substituting, changing, cleaning, repairing and installing pieces, components and equipment
Day to day collaboration with regards to Health and Safety conditions in the offices are met/ office works performed in collaboration with IT department, collaboration with Fleet & Security department on office related topics as per brief from facility manager
Supporting in organization of large-scale employee related events across BU, (family days, Xmas party, celebrations in offices)
Requirements:
Minimum 2 years of experience in a similar position
Very good organizational and communication skills with the ability to cooperate in the multinational work environment
Open to cooperation and proactive attitude to day-to-day tasks
Excellent interpersonal skills and ability to build relationships in a demanding professional environment
Ability to react fast and finding solutions to difficult ad hoc office situations as problems faced are difficult to moderately complex
Very good command of English
