Job Description

Office Coordinators handle the routine office work and administrative responsibilities of the community. They are also responsible for assisting with planning and coordinating community events and activities.

Job Responsibility

  • Handles routine office work and administrative responsibilities
  • Assists with planning and coordinating community events and activities
  • Greets and establishes rapport with guests, current and prospective residents
  • Fields community comments, suggestions and complaints to the Community Manager
  • Prepares and distributes resident and community communications
  • Collects and posts resident security deposits, processing fees, rent, inspection, application or other miscellaneous fees in Yardi
  • Completes and reconciles community reports
  • Performs general administrative functions such as answering phones, typing, copying, faxing, and filing
  • Reviews and codes invoices and statements for Community Manager approval
  • Schedules clubhouse rentals and processes rental fees
  • Ensures office supplies are sufficiently stocked and prepares supply orders as needed
  • Makes collection calls for site rental payments as directed by the Community Manager
  • Submits bad debt files to collections
  • Processes resident move-ins and move-outs
  • Assists with planning and coordinating resident relations events and activities
  • Assists with the preparation of marketing materials
  • Refers all sales prospects to the Community Manager and enters prospect information into Yardi
  • Assists prospective residents by checking the status of Sun Homes inventory
  • Forwards Sun Homes customer service requests to the Community Manager
  • Completes new move-in incentive requests
  • Coordinates with the Underwriting team to obtain approvals on prospective resident applicants
  • Maintains the petty cash fund
  • Prepares bank deposit slips and deposit funds
  • Makes daily bank runs

Requirements

  • High School Diploma or GED (Required)
  • 2 years in administrative experience (Required)
  • 6 months in previous experience using NetSuite (Preferred)
  • 6 months in property management office experience (Preferred)
  • Excellent written and verbal communication skills
  • Strong customer service skills
  • Excellent problem solving skills
  • Intermediate computer proficiency
  • Professional appearance
  • Must have a valid driver's license

Nice to have

  • 6 months in previous experience using NetSuite
  • 6 months in property management office experience
