We are seeking a bilingual Spanish contract to hire Office Assistant to support daily office operations in a fast-paced environment for our client in Hayward. This role requires strong data entry skills, proficiency in Microsoft Office Suite, and the ability to manage documents, schedules, and communications with accuracy and professionalism. The ideal candidate is organized, tech-savvy, and comfortable using AI tools.
Job Responsibility:
Perform accurate data entry, record updates, and database maintenance
Use Microsoft Office Suite, including Excel, to prepare spreadsheets, reports, and other administrative documents
Manage phone calls, emails, and correspondence in both English and Spanish
Coordinate calendars, meetings, appointments, and travel arrangements
Organize and maintain physical and electronic filing systems, records, and documents
Prepare, proofread, and edit reports, memos, invoices, contracts, and other office materials
Provide back-office administrative support, including processing forms, payroll-related data entry, and handling confidential information
Assist with meeting and event coordination, including agendas, notes, logistics, and follow-up communication
Support clients, visitors, and internal staff with professional customer service and timely follow-up
Use office software, digital platforms, and AI tools to help streamline workflows and improve team efficiency
Assist with special projects and provide additional administrative support as needed
Requirements:
At least 1 year of experience in administrative support, office coordination, or a similar position
Strong data entry skills with a high level of accuracy and attention to detail
Proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint
Bilingual communication skills in English and Spanish
Comfort using office software, digital systems, and AI tools to complete daily tasks
Ability to manage multiple assignments, stay organized, and meet deadlines in a fast-paced setting
Strong written and verbal communication skills with a detail-oriented customer service approach
