Robert Half is looking for an Office Assistant to join our client’s team in Portland, OR. This contract position is ideal for someone who thrives in an administrative and office support role and is passionate about creating a welcoming and efficient workplace. The successful candidate will play a key role in managing front desk operations, supporting office services, and ensuring smooth day-to-day operations for employees and visitors.
Job Responsibility:
Greet and assist employees and visitors, creating a professional and positive first impression
Manage front desk operations, including answering calls, responding to emails, and handling internal service requests
Coordinate access and security for employees, vendors, and guests in accordance with company policies
Support office services and facilities requests, including maintenance, supplies, and shared spaces
Schedule and manage bookings for conference rooms, shared desks, and specialty spaces
Maintain a clean, organized, and welcoming reception, lobby, and common areas
Manage mailroom operations, including shipping, receiving, and distribution of packages
Document office processes, maintain internal content and records, and ensure compliance with company procedures
Assist with in-office events and special projects as needed
Ensure safety and emergency procedures are understood and followed by all building occupants.
Requirements:
2+ years of experience in office coordination, administrative support, or facilities operations
Strong organizational and multitasking skills with attention to detail
Excellent communication and interpersonal abilities
Comfortable using digital tools, internal ticketing systems, and office platforms
Ability to prioritize tasks effectively in a fast-paced environment
Experience supporting facilities, office services, or front desk operations
