Job Description:

We are looking for a detail-oriented and proactive Office Assistant to join our client in the west metro, Minnesota area. This contract-to-permanent position offers an excellent opportunity to contribute to the seamless operation of office activities while gaining valuable experience in administrative support. The ideal candidate will thrive in a fast-paced environment and bring strong organizational skills to the role.

Job Responsibility:

  • Manage day-to-day office operations, ensuring the workplace remains organized and functional
  • monitor office supplies inventory, coordinating with vendors to ensure timely replenishment
  • maintain accurate records of IT equipment and coordinate with teams for repairs, upgrades, and replacements
  • assist in onboarding and offboarding processes by preparing necessary IT tools for employees
  • oversee maintenance schedules and vendor coordination
  • provide administrative support by scheduling meetings, preparing reports, and organizing events
  • handle incoming and outgoing mail, courier arrangements, and general correspondence
  • assist in planning team-building activities and corporate events to promote a positive work environment
  • ensure compliance with company policies and safety standards related to office operations
  • troubleshoot minor IT issues and escalate complex problems to the appropriate support teams

Requirements:

  • Previous experience in administrative roles or office management is preferred
  • proficiency in Microsoft Word and other computer programs relevant to administrative tasks
  • strong verbal and written communication skills with a focus on customer service
  • ability to multitask, prioritize responsibilities, and maintain attention to detail under pressure
  • familiarity with inventory management software and basic IT troubleshooting
  • experience with billing functions, payroll, and clerical duties is a plus
  • collaborative team player with adaptability to fast-paced environments
  • strong organizational skills paired with the ability to maintain accurate records
