We are looking for a dependable and motivated Office Assistant to support a collaborative municipal office in Michigan. This Contract position is ideal for someone who responds quickly, stays composed in a public-facing environment, and takes ownership of tasks with strong attention to detail. The role centers on front-desk administration while also offering exposure to basic finance-related duties, making it a strong fit for someone who enjoys helping both internal teams and community visitors.
Job Responsibility:
Welcome visitors at the front counter, assess their needs, and connect them with the appropriate department or staff member
Provide daily administrative support by managing documents, editing written materials, and ensuring correspondence is accurate, well-prepared, and completed promptly
Monitor calendars, email activity, and general office communications using standard business software such as Outlook, Word, and Excel
Assist the broader team with shared workload needs, stepping in where needed to maintain smooth day-to-day operations
Handle intake tasks and maintain an organized front-office presence so staff can remain focused on their primary responsibilities
Support basic payment-processing and bookkeeping activities as needed, including receiving transactions and helping prepare batches for entry
Use internal office systems, including BS&A, to complete routine administrative and finance-related tasks as training is provided
Maintain a calm, attentive approach when addressing questions or directing members of the public, helping move issues to the right team efficiently
Requirements:
Previous experience in office administration, clerical support, or a similar customer-facing role
Strong sense of urgency, reliability, and follow-through when handling assigned work
Ability to adapt easily in a team-oriented environment where responsibilities may shift throughout the day
Clear written communication skills with the ability to proofread, edit, and format documents accurately
Basic proficiency with Microsoft Outlook, Word, and Excel
Comfortable learning administrative and accounting-related software systems, including CRM or financial platforms
Helpful to have light bookkeeping, billing, or payment-handling experience, though advanced accounting knowledge is not required
Detail-oriented demeanor and the ability to remain composed while assisting the public and coordinating with multiple departments
