We are looking for a detail-oriented Office Assistant to support daily operations in a fast-paced environment. This Contract to permanent position is based in Palo Alto, California, and requires someone who can efficiently manage administrative tasks while maintaining a high standard of work. Job Responsibility:
Coordinate daily schedules and manage calendars to ensure meetings and appointments are organized
Handle administrative tasks such as scanning documents, answering calls, and managing correspondence
Maintain a welcoming reception area by greeting visitors and handling inquiries
Organize and oversee lunch orders and other office supplies to ensure smooth operations
Perform clerical duties including filing, data entry, and maintaining records
Support staff with operational needs to ensure efficiency in daily workflows
Collaborate with team members to streamline processes and improve administrative systems
Assist with scanning and digitizing important documents to maintain accurate records
Respond to inbound calls in a courteous and efficient manner and direct them appropriately
Ensure the office environment remains clean, organized, and conducive to productivity
Requirements:
Previous experience in office administration or clerical roles is required
Proficiency in scanning documents and managing electronic files
Strong communication skills, both verbal and written, to handle inquiries and correspondence
Ability to prioritize and manage multiple tasks efficiently
Familiarity with answering inbound calls and directing them appropriately
Attention to detail and organizational skills to maintain accurate records
Ability to work independently as well as collaboratively in a team environment
Detail-oriented approach and excellent customer service skills
