We are looking for a dependable Office Assistant to support daily front-office operations for a Contract position in Saint Paul, Minnesota. This role serves as a key point of contact for visitors, drivers, and customers by providing courteous assistance, managing incoming communications, and keeping administrative tasks organized. The ideal candidate is comfortable handling reception duties, document processing, and scheduling-related support in a fast-paced office setting.
Job Responsibility
Welcome visitors and respond to the doorbell promptly, ensuring each guest is directed to the appropriate contact or area
Sort, distribute, and manage incoming and outgoing mail to keep office communications moving efficiently
Assist clients with semi-truck parking coordination by booking spaces, making cancellations, and explaining the reservation process clearly
Answer inbound phone calls and provide helpful information or route inquiries to the correct team member
Support current customers with routine questions and deliver attentive, friendly service during each interaction
Scan and organize documents accurately to maintain accessible and up-to-date office records
Provide general clerical assistance, including data entry, filing, and other administrative support as needed
Work closely with internal team members to become knowledgeable about office procedures and service-related processes
Requirements
Previous experience in a receptionist, office support, or administrative role
Ability to manage front-desk interactions with professionalism and a customer-focused approach
Experience handling inbound calls, visitor inquiries, and general office correspondence
Proficiency with document scanning, filing, and other clerical tasks
Working knowledge of Microsoft Office 365
Strong organizational skills with the ability to manage multiple routine tasks accurately
Clear verbal communication skills and confidence assisting customers in person and by phone
