We are seeking a reliable and detail-oriented Office Assistant to support daily administrative functions in our office during afternoon hours. The ideal candidate will assist with a variety of clerical tasks, ensuring efficient office operations and providing excellent service to staff and visitors.
Job Responsibility:
Answer and direct incoming phone calls and take accurate messages
Greet and assist office visitors in a professional manner
Handle incoming and outgoing mail and packages
Maintain organized filing systems, both physical and electronic
Prepare, proof, and distribute documents and correspondence as needed
Send out client packets and cross-check client information for accuracy and completeness
Support scheduling, meeting preparation, and calendar management
Order and maintain inventory of office supplies
Perform general data entry, scan, and copy documents
Support other departments with administrative tasks as assigned
Requirements:
Previous experience in an office or administrative support role preferred
Proficient in MS Office (Word, Excel, Outlook) and comfortable with office equipment
Strong organizational and multitasking abilities
Excellent verbal and written communication skills
Professional, positive attitude and dependable attendance
Ability to maintain confidentiality and handle sensitive information
