We are looking for a detail-oriented Office Assistant to join our team in San Francisco, California. This Contract position offers an exciting opportunity to contribute to the smooth functioning of our office by handling administrative tasks and ensuring a welcoming environment for visitors and staff. The role requires excellent organizational skills, a meticulous demeanor, and the ability to manage multiple responsibilities efficiently.
Job Responsibility:
Welcome visitors and clients with a courteous and friendly attitude, offering refreshments and maintaining a hospitable front office environment
Assist in scheduling and managing calendars, coordinating appointments, and ensuring smooth conference room bookings
Keep the office organized and presentable by managing supplies, maintaining common areas, and upholding a neat aesthetic
Process expense reports through Concur, ensuring accuracy and timely submission, and help track office-related expenses
Monitor the inventory of office supplies, placing orders when needed, and ensuring kitchen and coffee areas are fully stocked
Provide general administrative support, including filing, data entry, and other clerical tasks to streamline office operations
Maintain cleanliness and order within the workspace and ensure adherence to high standards
Handle inbound calls, answer queries, and direct communication efficiently
Collaborate with team members to address any operational needs and maintain a productive workflow
Requirements:
Proven experience in office administration, hospitality, or a similar role
Strong organizational skills with the ability to multitask effectively and pay attention to detail
Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook
Familiarity with Concur or other expense management systems is preferred but not mandatory
Excellent verbal and written communication skills
A proactive and detail-oriented attitude with a focus on hospitality
Ability to maintain a clean and organized workspace
Comfortable using various computer programs and accounting software systems
Nice to have:
