We are looking for a detail-oriented and proactive Office Assistant to join our team in San Jose, California. This is a contract-to-permanent opportunity, offering you the chance to contribute to the smooth operation of our office environment while supporting various administrative tasks. Job Responsibility:
Provide comprehensive administrative support to ensure efficient office operations
Maintain clean, organized, and safe office spaces, including conference rooms, restrooms, and breakrooms
Monitor and manage inventory levels for office and breakroom supplies, ensuring timely restocking
Coordinate weekly lunch orders within budget, ensuring quality and punctual delivery
Assist with planning and organizing departmental lunches and company events
Oversee deliveries and orders, including managing Costco supplies to maintain adequate stock
Update and maintain accurate site maps and seating arrangements for the office
Facilitate new permanent onboarding by preparing badges, assigning seating, and setting up workstations
Support vendor and contractor onboarding, including payment processing through financial systems
Process check deposits and maintain confidentiality when handling sensitive information
Requirements:
Proven experience in receptionist duties, including answering inbound calls and greeting visitors
Strong organizational skills with the ability to manage clerical tasks efficiently
Proficiency in document scanning and maintaining accurate records
Ability to handle confidential information with discretion and professionalism
Excellent communication skills and a customer-focused attitude
Proficiency in basic office tools and technology, such as email and document management systems
Nice to have:
Familiarity with financial systems and payment processing is a plus
Experience in planning and coordinating events or meetings is preferred
