Job Responsibility

  • Open, sort, and batch incoming mail and payments by trust
  • Scan, index, and upload documents accurately and in a timely manner
  • Organize workflows across internal systems (Perceptive, Smartsheet)
  • Maintain and update tracking spreadsheets for member data and enrollment processes
  • Prepare documents, packets, and reports for internal and external distribution
  • Copy forms and correspondence as needed
  • Send and receive faxes
  • Provide front desk support, including answering calls, greeting visitors, and assisting walk-ins
  • Coordinate member meetings with remote staff via Microsoft Teams
  • Assist with preparation and distribution of participant materials
  • Perform additional administrative support tasks as directed by management

Requirements

  • Previous experience in an office support, receptionist, or administrative assistant role
  • Ability to scan, organize, index, and maintain high volumes of documents with strong attention to detail
  • Comfortable handling inbound phone calls, greeting visitors, and providing attentive front-desk support
  • Proficiency with clerical tasks such as copying, filing, faxing, and preparing spreadsheets
  • Experience sorting incoming mail and working with sensitive paperwork in an organized manner
  • Working knowledge of Microsoft Office tools and ability to learn internal workflow systems quickly
  • Strong communication skills in English
  • Spanish language ability is a plus
  • Ability to manage multiple priorities effectively in a fast-paced work setting
