We are looking for a highly organized and proactive Office Assistant to join our team on a contract basis in Saint Paul, Minnesota. In this role, you will be the first point of contact for visitors, ensuring a welcoming environment while managing a variety of administrative tasks. This position requires excellent communication skills and the ability to coordinate with vendors and maintenance staff effectively.
Job Responsibility:
Serve as the primary receptionist, greeting visitors and directing them appropriately
Manage incoming and outgoing mail, ensuring timely distribution
Coordinate maintenance activities, including scheduling vendors and overseeing repairs
Maintain a list of preferred vendors and liaise with them for office needs
Order and organize office supplies, ensuring inventory levels are adequate
Schedule and oversee maintenance technician visits, ensuring timely resolution of issues
Keep the office environment clean and well-organized
Assist with clerical tasks such as document scanning and answering inbound calls
Support lease-related inquiries by redirecting individuals as necessary
Collaborate with internal teams to manage vendor invoices and approvals
Requirements:
Previous experience in receptionist or administrative roles
Strong organizational and multitasking abilities
Excellent verbal and written communication skills
Familiarity with coordinating vendor services and managing maintenance schedules
Proficiency in handling mail distribution and clerical duties
Ability to maintain a clean and organized workspace
Comfortable using office equipment such as scanners and phone systems
Experience with scheduling and overseeing appointments or services
