We are looking for an organized and detail-oriented Office Assistant to join our team in Columbia Heights, Minnesota. In this long-term contract role, you will play a key part in maintaining smooth office operations by performing a variety of administrative and clerical tasks. The ideal candidate will have strong multitasking abilities and excellent communication skills.
Job Responsibility:
Greet and assist visitors, ensuring a welcoming and attentive environment
Answer and manage incoming calls, directing inquiries to the appropriate personnel
Organize and scan documents to maintain accurate and accessible digital records
Perform general clerical tasks such as filing, data entry, and scheduling
Support daily office operations by managing supplies and coordinating with vendors
Collaborate with team members to ensure efficient workflow and task completion
Handle correspondence and distribute mail as needed
Maintain confidentiality and accuracy in handling sensitive information
Assist in creating reports and presentations as required
Provide bilingual support in Spanish for communication and documentation when necessary
Requirements:
At least 1 year of experience in an administrative or office support role
Proficiency in receptionist duties, including answering inbound calls and managing a front desk
Strong organizational skills and attention to detail
Ability to handle document scanning and digital filing systems
Basic knowledge of office equipment and software
Excellent verbal and written communication skills
Bilingual proficiency in Spanish is preferred
Ability to work independently and as part of a team
