We are seeking a reliable and detail-oriented Office Assistant with QuickBooks experience to support daily office operations. This role will handle order processing, front desk/reception duties, and administrative support for the sales team. The ideal candidate is bilingual in English and Spanish, organized, and comfortable working in a fast-paced office environment.
Job Responsibility:
Process customer orders accurately and in a timely manner
Enter invoices, payments, and basic accounting data in QuickBooks
Answer and direct incoming phone calls
greet visitors professionally
Provide administrative support to the sales team (quotes, order follow-ups, documentation)
Maintain organized records, files, and office documents
Assist with general office tasks such as data entry, emailing, and scheduling
Communicate with customers and vendors in both English and Spanish
Requirements:
Bilingual: English & Spanish (required)
Prior experience using QuickBooks (required)
Previous office assistant, administrative, or receptionist experience preferred
Strong organizational and time-management skills
Basic computer skills (Microsoft Office, email, data entry)
Professional communication and customer service skills
