The Office Assistant will be responsible for the organization and running of the day-to-day administrative operations and mail services at the Store Support Center.
Job Responsibility:
Greet visitors
communicate arrival of visitors internally
Answer phones
retrieve voicemail messages and transfer calls
Assist executive team with catering orders and setting up meetings
Receive incoming express letters and packages and distribute to appropriate individuals
Sort and distribute all incoming mail
Ensure that all outgoing mail and packages are properly packaged and labeled for mailing, with correct postage, utilizing the automated postage meter machine
Fully operate and maintain the mailroom equipment, place service calls as needed for the mailroom equipment
Coordinate courier and air freight services. Track, trace and resolve any delivery service problem
Provide support to all stores for the express shipping accounts
Order office supplies and maintain sufficient quantities in various locations throughout office
Provide support to the Office Manager and Facilities team as needed
Coordinate with office service vendors, such as recycle/shredding, repair calls, off-site storage coordination
Coordinate and maintain the office vending program for food and beverages, including purchasing and keeping sufficiently stocked
Review and approve invoices for office services vendors
Assist with ad hoc projects
Perform all other duties as assigned
Requirements:
Ability to operate mailroom equipment
Ability to operate multi-line phone system
Proficiency in MS Office: Word, Excel, PowerPoint and Outlook
Sitting, standing, walking, lifting (up to 30lbs.) and climbing
Exceptional written and oral communication skills
Ability to manage multiple priorities and tasks
Ability to effectively work individually or in a team environment
