We are looking for a dedicated Office Assistant to join our team in Washington, District of Columbia. In this long-term contract position, you will play a vital role in ensuring the smooth operation of our office by managing supplies, coordinating shared spaces, and supporting administrative tasks. Job Responsibility:
Maintain inventory of office supplies, placing orders and ensuring timely restocking to support operational efficiency
Monitor and replenish kitchen and breakroom essentials, including beverages and cleaning supplies, to maintain a clean and stocked environment
Oversee the scheduling and upkeep of conference rooms and shared office spaces to ensure they are ready for meetings and daily use
Collaborate with vendors to manage supply orders, track deliveries, and address any issues related to office needs
Conduct regular inspections of office areas to ensure cleanliness, functionality, and a well-maintained appearance
Assist in onboarding new employees by preparing workspaces and providing basic office orientation
Provide backup support for reception duties, including answering calls, distributing mail, and scheduling tasks
Operate and maintain office equipment, ensuring functionality and troubleshooting minor issues as needed
Support general administrative tasks such as scanning documents, preparing materials, and coordinating schedules
Facilitate communication between departments to ensure smooth operations and address any office-related concerns
Requirements:
Previous experience in office administration or a similar role
Proficiency in Microsoft Office Suite, including Word, Excel, and SharePoint
Strong organizational skills with the ability to manage multiple tasks efficiently
Excellent communication skills, both verbal and written
Familiarity with operating and maintaining basic office equipment
Ability to work independently as well as collaboratively in a team environment
Detail-oriented with a focus on maintaining a clean and organized workspace
Nice to have:
Experience in vendor coordination and supply management is a plus
