Job Description:

You will support the Office Administration Team in daily operational tasks and ensure that office processes run smoothly. In addition, you will take on responsibilities related to site infrastructure and security, contributing to a safe, efficient, and well-maintained working environment.

Job Responsibility:

  • Provide general administrative support, including handling mail, calls, filing systems, office supplies, workwear orders, and ensuring overall office cleanliness and organization
  • Support employee processes such as onboarding, SSC card/access management, visitor reception, meeting room coordination, travel arrangements, and accommodation tracking
  • Assist with event and meeting preparation, including catering, scheduling, and participation in planning and execution
  • Managing the accommodations provided to employees and keeping track of availability and occupancy
  • Overseeing the complete management of company vehicles, including maintenance schedules, service appointments, processing invoices, and handling vehicle bookings
  • Create analyses, reports, and presentations using MS Excel and PowerPoint
  • Support the operation, maintenance, and continuous improvement of the site’s infrastructure, working with internal teams, contractors, authorities, and service providers
  • Contribute to facility-related projects (construction, renovations, workspace improvements) and help ensure suitable work environments for all departments
  • Assist with supplier and contract coordination, including performance follow-up and documentation
  • Support security processes such as access control, visitor flows, protocol documentation, and on-site compliance with corporate guidelines
  • Participate in sustainability and environmental initiatives, audits, and energy/waste efficiency improvements

Requirements:

  • Completed commercial training as an office clerk or comparable commercial qualification (e.g., office management clerk, industrial clerk, or equivalent further education)
  • Relevant, ideally several years of, professional experience and good knowledge of MS Office
  • Confident and professional demeanor towards colleagues and visitors
  • Excellent communication skills as well as fluent Swedish and English language skills
  • Strong organizational and problem-solving skills, with a reliable, precise, and independent working style
  • Strong communication and coordination abilities when dealing with internal stakeholders, authorities, and external partners
  • High willingness to learn and strong motivation
  • Driving license require
