We are looking for a dependable Administrative Assistant to help keep our tax and accounting office running smoothly in Parsippany, New Jersey. This position is ideal for someone who enjoys staying organized, communicating with clients, and managing detailed administrative work in an organized environment. The role plays an important part in supporting daily operations, especially during high-volume tax periods, while helping maintain accurate records and a positive client experience.
Job Responsibility
Coordinate client scheduling and manage appointment calendars to support an efficient daily workflow
Prepare, organize, and assemble tax return documents for review, processing, and final delivery
Digitize, file, and maintain client records by scanning and uploading documents into office systems
Handle incoming and outgoing correspondence, including mail distribution and document routing
Record client payments, support billing activities, and assist with invoice tracking as needed
Contact clients to obtain outstanding paperwork, signatures, or other required information
Monitor electronic filing progress and help keep tax preparation tasks moving according to deadlines
Safeguard sensitive financial and personal information with a high level of confidentiality
Provide broad administrative support during peak tax season, including filing, organizing, and office coordination
Requirements
At least 2 years of experience in an administrative, office support, or customer-facing role
Background in an accounting, legal, medical, or other detail-focused office setting is preferred
Demonstrated ability to manage confidential documents with discretion and accuracy
Strong organizational skills with the ability to handle multiple priorities in a deadline-driven environment
Clear and effective verbal and written communication skills
Proficiency with Microsoft Office and Adobe-based document tools
Experience with billing, bookkeeping, or office management software such as QuickBooks or similar platforms is an advantage
Familiarity with tax preparation software or electronic filing systems is a plus
