The Office and Finance Administrator is a key member of our team, providing essential support in administrative, bookkeeping, and fleet management duties. This role requires a highly organized, detail-oriented, and efficient professional with exceptional skills in Microsoft Office and a proactive approach to problem-solving. The position supports various office operations and contributes to the company’s overall efficiency and success.
Job Responsibility:
Serve as the office receptionist, greeting visitors, managing incoming calls, and handling correspondence
Order and maintain office supplies to ensure smooth daily operations
Order credit cards and business cards for new hires
Keep the office kitchen clean and organized, including stocking supplies as needed
Issue work orders for repair and maintenance of office equipment
Record and track vehicle mileage monthly
Manage vehicle registration renewals
Send out vehicle maintenance reminders and maintain records
Review the EZ Pass account to ensure accuracy and compliance
Distribute updated auto insurance cards for fleet vehicles
Coordinate/Organize driver safety training and monitor driving reports
Review and process daily and monthly credit card receipts
Reconcile credit card statements
Deposit customer checks into the bank
Prepare and process lump sum & special project customer invoicing
Enter and process vendor invoices as needed (backup)
Selection and initiation of check run and ACH payments & management of positive pay uploads
Entering job estimates
Assist in month end close entries
Assist with other A/P and A/R duties as assigned
Assist in scheduling and organizing company and community events
Order JEM apparel and safety gear for employees and company events
Undertake other special projects and tasks assigned by management
Work closely with the Controller and CFO to support financial and administrative operations
Ensure clear and consistent communication across teams
Requirements:
Education: High school diploma or equivalent required
associate’s degree or higher preferred
Minimum of 2 years in a similar administrative role
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint) is essential
Exceptional attention to detail and ability to manage multiple tasks efficiently
Professional demeanor with excellent communication and customer service abilities
Resourceful and proactive in addressing challenges and completing tasks
