The Office Administrator is responsible for ensuring smooth day-to-day operations through administrative and operational support across multiple functions. Responsibilities include purchasing, processing new hires, accounts payable/receivable and financial reporting, and assisting with field office setup for new projects. This role serves as the point of contact for internal teams, vendors, and visitors while maintaining records and supporting company processes.
Job Responsibility:
Performs miscellaneous purchasing, office logistics, vendor coordination, and maintains files
Greets visitors, accepts, screens and routes communications
Applies Human Resources methodology to ensure the accurate application of programs and processes to support company policies and practices, such as processing new hires and maintaining personnel files
Completes client invoicing, administers the Accounts Payable, Accounts Receivable and financial reporting functions for the district utilizing accounting software
Perform activities in Accounts Payable such as keying vouchers, customer relations, ensuring timely check disbursements and other routing duties associated with accounts payable
Supports field operations by assisting in the set-up of field office(s) for new projects and providing a wide variety of office functions for field teams
Processes and logs job site information, such as preparation and gathering of time records for the district utilizing a variety of business software systems
Performs special projects and completes all other duties as assigned or requested for the general support of the organization
Requirements:
Minimum of three years’ experience of supporting similar key primary responsibilities and/or equivalent degree in business or related field
Excellent written, verbal, and interpersonal communication skills
Proficient experience and command using the Microsoft Office Suite (Word, Excel, PowerPoint and Outlook)
Ability to meet deadlines and multi-task in a fast-paced environment
