Job Responsibility

  • Answering phones, receiving packages and deliveries, distributing mail
  • Sending packages/mail, scheduling messengers, and creating FedEx labels
  • Serving as the first point of contact for all location-based operations requests
  • checking in vendors, liaising with facilities and operations teams and fielding general staff inquiries
  • Maintaining a clean and well-stocked kitchen and office areas
  • Maintaining monthly purchasing and inventory tracking of kitchen and office supplies
  • responsible for ordering and restocking, maintaining receipts, and updating the supply budget
  • Providing administrative support to department heads, including expense tracking and travel booking
  • Setting up desks for new hires and clearing desks for departing employees
  • maintaining building or access codes for active employees
  • Planning and coordinating employee engagement events with the HR team

Requirements

  • Minimum of 2 years of recent work experience as a receptionist, office coordinator, or similar administrative role
  • Professional phone and email etiquette
  • confident and courteous communication style
  • Friendly and positive demeanor with a customer service–oriented approach
  • Strong organizational and multitasking skills
  • ability to prioritize tasks in a fast-paced environment
  • Proficiency in Google Suite, Microsoft Office Suite (Outlook, Word, Excel) and general familiarity with office equipment
  • Detail-oriented with a proactive mindset and willingness to take initiative
