We are looking for an organized Office Administrator to support day-to-day service and administrative operations for a mission-driven organization in the Financial Services industry. This long-term contract position is ideal for someone who enjoys assisting clients, maintaining accurate records, and helping internal teams operate efficiently. The role requires strong communication, attention to detail, and the ability to manage inquiries and administrative workflows in a detail-oriented and timely manner.
Job Responsibility
Respond to questions from donors, financial advisors, and partner organizations regarding account access, balances, activity, and available services
Deliver a high-quality service experience by addressing requests promptly and ensuring matters are resolved or directed to the appropriate team member
Support daily operational activities such as opening accounts, processing incoming contributions, and updating documentation in line with established procedures
Maintain accurate information across donor, organization, and account records while ensuring consistency and completeness in internal systems
Coordinate with administrative team members to prioritize assignments, meet service timelines, and keep office workflows moving smoothly
Prepare reports, perform data entry, and assist with tracking information needed for operational oversight and service follow-up
Use Microsoft Office tools and database systems to organize communications, manage records, and support routine administrative tasks
Assist with troubleshooting basic service or process issues and contribute to continuous improvement in administrative and client support activities
Requirements
Previous experience in administrative support, office coordination, or customer-facing operations
Strong verbal and written communication skills with the ability to interact professionally with clients and internal stakeholders
Proficiency with Microsoft Office applications, including Excel, Word, Outlook, and PowerPoint
Accurate data entry skills and careful attention to detail when handling records and documentation
Ability to manage multiple tasks, follow established policies, and meet deadlines in a fast-paced environment
Experience working with databases, digital tools, or cloud-based systems in an operational setting
Problem-solving skills with the ability to identify issues, troubleshoot routine concerns, and escalate when needed
