We are currently seeking a dynamic and detail-oriented Office Administrator for a permanent position in Toronto (Eglinton West area). This is a fantastic opportunity to join a successful, growing company in the consumer goods and wholesale distribution industry. In this role, you will be the heartbeat of the office, managing everything from general administration and sample room organization to supporting the sales, logistics, and accounting teams.
Job Responsibility:
Manage general office procedures, including handling incoming phone calls, greeting visitors, and managing couriers
Maintain the sample room with high standards of organization and cleanliness
Coordinate the ordering and inventory management of office supplies
Provide exceptional customer service by handling inquiries and resolving complaints
Organize and coordinate office events and team lunches
Facilitate the shipping of sales samples via UPS and coordinate with the warehouse
Assist the accounting department by matching accounts payable invoices
Support the sales team by assisting with the completion of sales submission forms and building physical sales samples
Provide ad-hoc administrative support to the sales, logistics, and operations teams as needed
Requirements:
2 to 3 years of experience in an administrative or office support role
Must be available to work in-office 5 days a week in Toronto
Must be comfortable performing physical tasks related to sample management (lifting small boxes, organizing shelves)
Proficiency in Microsoft Office Suite (specifically Outlook and Excel) is essential
Strong data entry skills with a high degree of accuracy and attention to detail
Excellent organizational and time-management skills, with the ability to prioritize tasks in a very fast-paced environment
Adaptability and a willingness to learn new processes and software quickly
Strong verbal and written communication skills
Ability to work independently and take initiative to solve problems as they arise
Familiarity with Microsoft Teams for internal collaboration
Nice to have:
Knowledge of QuickBooks is considered a strong asset
Experience with tools such as ChatGPT Pro or Canva is a "nice to have" but not required
