This role is perfect for someone who enjoys being at the heart of a busy office, keeping things running smoothly, supporting senior leaders, and playing a key part in creating a safe, well-organised workplace across multiple locations. You don't need to be a Health & Safety expert, just someone who's confident, detail-oriented, and keen to build their experience in this space alongside core office administration.
Job Responsibility
Be the go-to person for keeping the London office running like clockwork
Support senior leaders with diaries, travel, and expenses
Welcome visitors and create a professional, friendly front-of-house experience
Coordinate meeting rooms (think smooth setups, refreshments, and everything in between)
Manage calls, post, couriers, and office supplies
Handle shared inboxes, including document signatures
Support finance admin tasks (POs, invoice queries)
Keep systems, records, and the Office Guide organised and up to date
Help keep our workplaces safe by supporting H&S processes and documentation
Work with local teams to maintain consistent standards across offices
Assist with risk assessments, training coordination, and compliance tracking
Keep records up to date (incidents, training, audits)
Support fire safety, first aid provisions, and emergency procedures
Be a friendly point of contact for H&S queries - escalating when needed
Requirements
Experience in an office admin, coordinator, or support role
Highly organised with strong attention to detail
Confident juggling multiple tasks and priorities
Comfortable managing shared inboxes and coordinating actions
Strong communication skills and a professional approach
Good knowledge of Microsoft Office (Outlook, Word, Excel, Teams)
An interest in Health & Safety (experience is a bonus, not a must!)
Nice to have
IOSH, NEBOSH, or similar H&S training
Experience in a multi-site or fast-moving business (e.g. telecoms, engineering)
