Job Description:

A well‑respected Glasgow law firm is looking for a highly organised and proactive Office Administrator to join their close‑knit team. This role is ideal for someone who enjoys variety, takes initiative, and can keep a busy legal office running smoothly. Legal admin experience is preferred, but not essential for the right person.

Job Responsibility:

  • Handling phones, incoming/outgoing mail, scanning & filing
  • Managing supplies (milk, water, coffee), confidential waste collections
  • Opening new files, preparing terms of engagement letters
  • Carrying out and monitoring ID checks (via Amicus)
  • Supporting fee earners with admin tasks
  • Producing and issuing around 60 invoices per month (for 5 fee earners) via Denovo
  • Tracking payments and issuing reminders
  • Updating spreadsheets to track ID verification
  • Chasing clients for outstanding documentation
  • Ensuring compliance processes are followed consistently

Requirements:

  • Highly organised, with excellent attention to detail
  • Proactive and able to prioritise without constant supervision
  • Responsible, and confident managing competing demands
  • Comfortable with tech and case management systems (Denovo experience a bonus)
  • Experienced in legal admin (preferred but not essential)
