Job Description

As an Office Administration Specialist, you will independently take responsibility for office processes, coordinate administrative procedures, and support management as well as teams in daily operations. You will optimize existing structures and develop new administrative solutions in line with our growth.

Job Responsibility

  • Independent organization and management of administrative processes
  • Point of contact for employees regarding all office-related matters
  • Support/coordination of appointments, business trips, and company calendars
  • Management and maintenance of documents, contracts, and tools
  • Responsibility for office operations, service providers, and suppliers
  • Support with HR-related tasks (onboarding, access systems, document filing)
  • Participation in process optimization and improvement of office infrastructure

Requirements

  • Minimum 3 years of experience in office management, administration, or assistance
  • Excellent command of English and German
  • Proficiency in digital tools (MS Office, OneNote, Acrobat, etc.)
  • High organizational skills, sense of responsibility, and ability to work independently
  • Solution-oriented approach and ability to set priorities
  • Driving license
  • Willingness to travel occasionally within the managed locations/countries
