Job Responsibility

  • Answering incoming calls and assisting with general enquiries in a professional and timely manner
  • Managing incoming and outgoing mail and distribution of post
  • Ordering, monitoring, and distributing stationery and office supplies
  • Ordering and distributing groceries, kitchen consumables, milk, fruit, and related office supplies
  • Coordinating and receipting PPE, and mobilisation requirements
  • Booking couriers and freight
  • Raising and receipting purchase orders for corporate office requirements
  • Assisting with monthly and ad-hoc procurement and administration processes
  • Ensuring meeting rooms are clean, presentable, and fully stocked for meetings and visitors
  • Coordinating catering for meetings, training sessions, and corporate events
  • Providing administrative support including filing, scanning, archiving, formatting, printing, binding, copying, presentations, and business card orders
  • Maintaining storage areas, and shared office facilities in an organised manner
  • Building positive working relationships with internal staff, suppliers, and visitors
  • Assisting with overflow of travel bookings as required
  • Supporting overflow requirements for office facilities including parking and building maintenance

Requirements

  • Previous experience in a busy administration, office support, or receptionist role
  • Exceptional organisational and time management skills
  • Excellent communication and interpersonal skills
  • A professional and friendly approach with strong customer service focus
  • Experience using Pronto accounting software desirable
