Job Description

The Site Mobilisation Coordinator is responsible for delivering efficient and accurate coordination of all site mobilisations, travel arrangements, onboarding processes, and system administration relating to site access. This role ensures that employees, contractors, and visitors are correctly onboarded, compliant, and fully supported throughout the mobilisation process. The position works closely with internal departments, external stakeholders, and village operations to maintain safe, smooth, and efficient operations across all mobilisation activities.

Job Responsibility

  • Coordinate all site mobilisations and site-based travel requirements, including the onboarding of new employees and contractor personnel
  • Manage all charter and commercial flight bookings, waitlists, rosters, and accommodation requirements using Corporate Travel Management (CTM)
  • Create traveller profiles, validate & verify completion of site entry requirements, and ensure all mobilisation documentation is completed accurately
  • Prepare and distribute daily and weekly charter manifests
  • Coordinate ground transport including bus services
  • Assist with the organisation of additional charter flights when required
  • Provide timely and accurate turnaround of all contractor travel requests
  • Assist with coordination of travel requirements for Perth office personnel attending site
  • Maintain and update employee and contractor records in INX InFlight, INX InTuition, and INX +Process, ensuring system integrity and compliance
  • Create and maintain site rosters, including coordination and management of FIFO & DIDO travel and rosters
  • Perform weekly and monthly INX system tasks as required
  • Assist with troubleshooting and resolving LMS Online Induction queries
  • Monitor fatigue management compliance and report any roster breaches to the Site Safety team in line with site policies and procedures
  • Ensure all mobilisation processes meet company, safety, and site entry requirements
  • Complete accommodation and charter flight forecasting, identifying and escalating issues as required
  • Assist with shutdown mobilisations, including coordinating crew inductions and travel
  • Liaise with village operations regarding rooming issues, maintenance requests, and resident feedback
  • Support internal and external stakeholders on all matters related to travel, rosters, accommodation, and mobilisation
  • Carry out site administration duties as required, including backfilling during periods of leave
  • Complete additional tasks delegated by the Senior Mobilisation Coordinator or Administration & Mobilisation Supervisor to support team operations
  • Perform other ad hoc duties as required to support effective site operations

Requirements

  • Current C class driver's license
  • High efficiency using the full Microsoft Office suite
  • Minimum of 1 year of INX experience specifically within the InFlight and +Process applications
  • Minimum of 1 year experience within a site mobilisation role
  • Excellent customer service skills
  • Previous experience in a similar role
  • General understanding of mining operations and requirements
  • Strong administration background
  • Ability to meet deadlines and timeframes
  • Ability to work in a busy environment and under pressure
  • Positive and friendly manner in supporting employees, contractors, and visitors at all levels
  • Respecting privacy and confidentiality in dealing with employee matters and information
  • Strong interpersonal and communication skills
