The Microsoft Exchange Email Administrator is responsible for managing, maintaining, and supporting the organization’s hybrid email environment, which includes on-premises Microsoft Exchange servers and Exchange Online in Microsoft 365. This role ensures service continuity and optimal functioning of the email and messaging services in a secure, reliable, and efficient manner across all platforms. The administrator provides technical leadership in implementing best practices, performing system upgrades, maintenance, and delivering end-user support.
Job Responsibility:
Manage, configure, and maintain the organization’s hybrid Exchange environment, including on-premises Exchange Server (2016/2019/SE) and Exchange Online
Oversee and troubleshoot mail flow between on-premises and cloud environments to ensure seamless user experience
Apply patches, updates, and cumulative rollups to Exchange servers, ensuring system integrity and security
Monitor and optimize system performance, capacity, and reliability through regular maintenance and enhancements
Manage Exchange certificates and ensure proper TLS/SSL configurations
Administer transport rules, connectors, and TLS encryption with partner organizations
Perform recipient management for all types in a hybrid environment, including user mailboxes, shared mailboxes, resource mailboxes, distribution lists, and Microsoft 365 groups
Manage mailbox and calendar permissions, auditing, retention policies, sharing, mobile device mailbox policies, RBAC, role assignment policies, and archiving configurations
Administer Exchange Online settings via Microsoft 365 Admin Center and Exchange Admin Center
Configure and maintain Exchange Online Protection (EOP) and Microsoft Defender for Office 365 policies for anti-spam, anti-malware, and phishing protection
Manage domains and DNS records, including DKIM, SPF, and DMARC for domain authentication and email deliverability
Ensure compliance with organizational and regulatory policies (e.g., DLP, message encryption, and eDiscovery)
Collaborate with security teams to investigate and resolve email-related security incidents
Diagnose and resolve mail flow, performance, and connectivity issues, including TLS encryption with partner organizations
Provide Tier 2/3 support for complex Exchange-related incidents
Assist end-users with email client issues for Outlook, Outlook on the web, and mobile device configurations
Requirements:
Bachelor’s degree in Information Technology, Computer Science, or related field (or equivalent work experience)
4–6+ years of experience administering Microsoft Exchange environments, including on-premises and Exchange Online
Hands-on experience managing hybrid Exchange deployments and Microsoft 365 environments
Strong understanding of Active Directory, Azure AD, DNS, SMTP, and mail routing
Proficiency with Exchange PowerShell (on-premises and cloud)
Experience with hybrid configuration wizards and Exchange connectors
Knowledge of Microsoft Purview (Compliance Center), retention policies, and email archiving
Familiarity with Microsoft Defender and spam gateways for anti-spam, anti-malware, and phishing protection
Understanding of security and authentication protocols (TLS, OAuth, OpenID, MFA, S/MIME)
Knowledge of load balancing and high availability configurations for Exchange servers
