Job Description:

Maison Estelle is looking for a super-organised and detail-driven Membership Administrator to join our Membership team, supporting operations across both Maison Estelle in Mayfair and Estelle Manor in Oxfordshire. A ‘hosted home’, bringing people together that have plenty to say and nothing to prove.

Job Responsibility:

  • Supporting the Membership team with all administrative elements of the membership lifecycle, from onboarding through to renewals and upgrades
  • Taking ownership of end-to-end membership renewals, including reminders, follow-ups, invoicing coordination and confirmation processing
  • Accurately managing member upgrades, downgrades and plan changes, ensuring all systems are updated in real time
  • Maintaining and updating our CRM and membership databases, ensuring records are compliant, organised and always up to date
  • Acting as the first point of contact for the shared membership inbox, responding to enquiries promptly, professionally and with warmth
  • Triaging queries to the appropriate team members where required and tracking resolutions through to completion
  • Coordinating and scheduling member meetings, calls and in-person visits, ensuring diaries run smoothly and follow-ups are actioned
  • Supporting the onboarding journey for new members, ensuring systems access, introductions and communications are handled seamlessly
  • Contributing to process improvements, internal workflows and documentation that enhance efficiency and elevate the member experience
  • Providing day-to-day administrative and logistical support to the wider Membership function, acting as the operational backbone of the team

Requirements:

  • Experience working within a membership organisation
  • Strong administrative skills with exceptional attention to detail
  • Confident working with CRM systems or databases
  • A customer-service mindset with polished written and verbal communication skills
  • Comfortable liaising with senior stakeholders and external members with professionalism and discretion
  • Able to manage multiple priorities and deadlines in a fast-paced environment
  • Must be able to travel to our Oxfordshire site twice per week

Experience in reporting or data tracking would be advantageous
