The Meeting Place Assistant provides administrative support to the Meeting Place team, helping them succeed in their daily work and collaborate smoothly with partners. The role also supports various business projects and initiatives within the Meeting Place, contributing to an effective, positive team spirit and enabling the whole team to work better together.
Job Responsibility:
Leads and takes part in projects and assignments that support the purpose of the Meeting Place, including areas such as Community Engagement and People in Centers
Coordinates the flow of information in a structured and efficient way, continuously improving administrative procedures and processes to support smoother ways of working
Provides administrative support by organizing meetings—booking rooms, preparing agendas and pre-reads, printing materials, creating presentations and translations, taking minutes, and following up on actions and decisions
Supports the team by keeping distribution lists (internal and external), shared folders, workplace pages, and system access up to date, while also ensuring proper archiving and storage of documents
Ensures updated lists for vacations, birthdays, anniversaries, and headcount are in place. Supports managers with onboarding, including practical setup such as phones, computers, system access and office access for new and existing coworkers
Manages the purchase of stationery, office supplies, and IT consumables to ensure the team has the tools needed to work effectively
Acts as a superuser for relevant Meeting Place systems (e.g., Tenant Portal and Meeting Place correspondence), handling incoming questions and requests from both internal and external stakeholders
Welcomes visitors and manages incoming phone calls with a friendly, service minded approach
Ensures the good performance and upkeep of office equipment, tools, meeting rooms, and the staff canteen to maintain a pleasant and efficient working environment
Supports the team with specific assignments in areas such as: Safety & Security
Cash management
Invoicing
Procurement
Document and report analysis and adjustments
Requirements:
Minimum of 3 years’ experience in community relations, NGO collaboration, sustainability, or people development, with a strong interest in creating a positive impact together with others
Experience in building networks with NGOs is a strong advantage and supports longterm community partnerships
Strong communication skills, with the ability to create clarity, build trust, and connect people in a meaningful way
