Job Description

We are looking for a dedicated Medical Unit Clerk to join our team in Shelton, Washington. This Contract-to-Permanent position; In this role, you will play a crucial part in ensuring the accuracy and organization of medical records while collaborating closely with clinicians, nurses, and doctors.

Job Responsibility

  • Review and organize patient charts to ensure all medical records are accurate and complete
  • Collaborate with medical staff to follow up on missing documentation, signatures, or required updates
  • Scan and upload essential patient information into electronic systems, maintaining confidentiality and compliance with HIPAA regulations
  • Verify that medical notes align with recommended treatments, pharmacy referrals, and patient visit dates
  • Conduct daily audits of charts to ensure compliance with census requirements and internal checklists
  • Prepare charts for referrals and ensure they meet standards for pharmacy documentation or patient history closures
  • Maintain strong organizational practices to identify and resolve deficiencies in records
  • Communicate effectively with busy medical staff, using a diplomatic yet assertive approach to meet deadlines
  • Utilize medical terminology and charting expertise to clean up and manage disorganized records
  • Support the auditing process to ensure all records meet compliance standards

Requirements

  • At least 1 year of experience in medical records management or a related role
  • Proficiency with electronic medical record systems, such as Allscripts and EHR
  • Strong knowledge of medical terminology and charting practices
  • Familiarity with HIPAA compliance and confidentiality standards
  • Advanced skills in Excel and general Office applications
  • Ability to perform clerical duties with precision, including scanning and organizing patient records
  • Exceptional organizational and time management skills
  • Positive and assertive communication style to effectively liaise with medical staff
